The Administrative Assistant will play a crucial role in supporting the HVAC installation department by handling administrative tasks, coordinating schedules, and ensuring smooth communication between internal teams and clients.
Tasks
Responsibilities:
Provide administrative support to the HVAC installation department, including document preparation, filing, and data entry.
Schedule and coordinate installations with clients, technicians, and other relevant parties.
Maintain accurate and up-to-date records of installation projects, including permits, inspections, and customer information.
Communicate with clients to gather necessary information and address inquiries regarding installation projects.
Prepare and process necessary paperwork, including work orders, contracts, and invoices.
Assist in managing inventory and ordering supplies as needed for installation projects.
Collaborate with the sales team to ensure accurate information is provided for new installations.
Generate and maintain reports related to installation progress, timelines, and client feedback.
Provide administrative support to other departments as needed.
Requirements
Qualifications:
Proven experience as an administrative assistant in the HVAC area Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficient in using Microsoft Office Suite (Word, Excel, Outlook).
Ability to work in a fast-paced environment and adapt to changing priorities.
Basic knowledge of HVAC systems and installation processes (preferred).
Attention to detail and accuracy in record-keeping.

Estimated Salary: $20 to $28 per hour based on qualifications.
